How to Ship Certified Mail in 2024: A Step-by-Step Guide

Traditional mail may seem old-fashioned in this digital world, but sometimes you need to send physical papers.

Using certified mail for legal documents, important contracts, or official letters gives your mail an extra layer of security and proof that it was delivered.

Along with this detailed guide, I will show you how to send certified mail step-by-step, covering everything you need to know about certified mail delivery.

Understanding Certified Mail

The postal service offers a service called “certified mail,” which gives proof that the mail was sent and received. When you send a letter or gift through certified mail, you get a unique tracking number that lets you keep track of its progress from sender to recipient. The person receiving the package must also sign for it, confirming that it got to where it was supposed to go, serving as delivery confirmation.

Why would I use Certified Mail?

When you send a letter through First-Class Mail, it usually gets there in two to five working days. Most of the time, Priority Mail gets delivered in two to three business days, with a delivery status update available. However, USPS does not guarantee that First-Class Mail or Priority Mail will arrive at a certain time, lacking delivery confirmation.

How long will it take for USPS to deliver my Certified Mail letter?

Delivery time is based on the type of mail you use Certified Mail. When you send a letter through First-Class Mail, it gets typically delivered between 2 and 5 business days. Priority Mail usually gets delivered between two and three work days. But USPS doesn’t promise that either First-Class Mail or Priority Mail will arrive at a certain time, unlike the reassurances provided with certified mail delivery.

To ship certified mail, you’ll need a few essential items:

Envelopes or Packages: Pick the right envelope or package for the papers you’re sending by looking at their size and type.

Documents: Make sure your papers are in order and that they are safely sealed inside the envelope or package.

Address Labels: Print the recipient’s address clearly on the envelope or package, along with any other delivery directions.

Certified Mail Forms: You can get certified mail forms at your local post office. There is a ticket with a unique tracking number on these forms.

Postage: Put on the right amount of postage for the size and weight of your package.

Filling Out Certified Mail Forms

It’s time to fill out the certified mail forms once you have everything you need. Do these things:

Sender Information: As the sender, put your name and address on the certified mail label carefully.

Recipient Information: Type in the correct name and location of the recipient.

Delivery Options: Pick any extra delivery choices you want, like restricted delivery or return receipt.

Signatures: The certified mail forms need to be signed and dated.

Not at all. You can have a USPS mail carrier pick up your certified mail or drop it off in a mailbox as long as you use the right certified mail forms and the right amount of stamps, facilitating the process of sending certified mail online.

Putting On Postage and Tracking

Once you’re done with the forms, put the required postage on your letter or package. Then, give the postal clerk your item and the Form 3800 for certified mail service. They will stamp the forms and give you a ticket with the tracking number on it.

Tip: Keep this receipt for your notes; it shows that you mailed the letter using a certified mail label.

Which name goes on the receipt, mine or the person I am mailing it to?

Tracking

The unique 22-digit code lets you track the package all the way to arrival, but it won’t come with a signature from the recipient.

For Proof of Delivery with Signature

On the back of your envelope, put the Return Receipt Form PS 3811, which is also known as the “Green Card,” that you filled out. Someone at the home of the person who will receive your Certified Mail must sign the Green Card before the Postal Carrier will leave the letter. After that, the Green Card is sent back to you through First-Class mail.

Can anyone at the mailing address sign for Certified Mail?

Of course, anyone at the sending address who has standard Certified Mail can sign for the package. This means that only the person you sent the letter to can sign for it if you use limited Certified Mail.

For Frequent Users

Preparing Certified Mail

Certified Mail can now be sent in window boxes with a cover sheet that has PC PostageTM and IMpbTM bar codes on it so that the mail can be tracked via the USPS website.

Step 7 on How to Ship Certified Mail in 2024_ A_Step-by-Step Guide

You can print the cover sheet on any 8 1⁄2” x 11” paper, fold it, and slip it into the envelope with your letter when sending via certified mail. There are no longer any old-fashioned Certified Mail forms or postage meters.

You can use your web computer to access web-based software that makes the cover sheet. This way of getting Certified Mail ready is at least 5 times faster than using the old USPS forms. It only takes about a minute per piece.

You can print groups of dozens, hundreds, or even thousands of letters directly from Microsoft Excel files that store address lists. This cuts down on the time it takes to prepare each letter to about 30 seconds, streamlining the way to send USPS certified mail.

Proof of Acceptance (Mailing)

These days, you don’t just take your USPS Certified Mail to the Post Office to get proof of mailing. You leave your Certified Letter for your Mail Carrier to pick up or drop off at any USPS mailbox, simplifying the process to send USPS certified mail.

Just a few hours after mailing, an electronic Proof of Acceptance (PDF file) is sent to your account. This happens soon after your Certified Mail® gets its first outbound scan, a crucial step for tracking certified mail.

The computer Proof of Acceptance is generally thought to be proof that the Post Office actually got the Certified letter on a certain date and time.

Tracking Your Certified Mail Letters

To keep track of your Certified Mail letter, all you have to do is log in to the USPS website. The USPS tracking information is updated every few hours, is organized for easy viewing, is saved for ten years, and can be downloaded to your PC or computer whenever you need to.

Proof of Delivery with Signature

The USPS Return Receipt Electronic (the “RRE”), a PDF file, can be used instead of the old-fashioned Green Cards these days. These days, the mail carrier sends the RRE to users’ accounts within 24 hours of the mail carrier getting the signature.

This means that users don’t have to wait for the Green Card, and there’s no chance that the Green Card will get lost in the mail stream. It’s important to note that the RRE and the PS 3811 Return Receipt Green Card, used for USPS Certified Mail, are both valid documents.
